Do not use “verified” to mean “the homeowner looked at it twice.” Do not use “approved” to mean “the architect mentioned it.” Record the verifier, date, scope and limits. If the site changes, the status can revert to open.

### What to bring to the first design meeting

Bring a short decision packet and a longer evidence packet. The short packet should fit on a few pages and contain the household profile, the five or so highest-consequence outcomes, a marked-up orientation and access sketch, the unresolved conflicts, and the next three questions for the architect. The longer packet can contain photos, listing exhibits, survey correspondence, utility records, noise notes, shade observations and a versioned decision log. Open the meeting by agreeing on the design base. Ask the architect to return a bounded set of outputs. For example: “Show two massing or room-zoning options; mark the preferred and rejected view edges; identify the rooms most exposed to afternoon sun and neighbor sight lines; list assumptions needing survey or specialist review; and recommend the next verification gate.” This request is more useful than asking for a polished rendering because it makes the tradeoff visible while the project is still flexible.

End by reading back decisions in three columns: approved now, revise and return, and verify before approval. Put a person and date beside every “verify” item. If a professional says an issue belongs to another discipline, record the referral and the question to be answered. A handoff is complete when the receiving person can act without reconstructing the household's priorities from scattered messages.

Add frequency and time: “daily, 7–8 a.m.” is more useful than “morning person.” Add a responsible household voice when preferences differ. A multi-person brief should not silently average away a serious disagreement.

Keep versions. A design brief that changes without a date can create an argument later about whether a preference was ever approved.

### Method: collect inputs, classify them, score only urgency, then assign verification

The method for this worksheet is to collect household inputs, label each statement as a fact, preference, constraint or assumption, score only the urgency of unresolved tradeoffs with an illustrative frequency-by-consequence formula, then assign evidence, owner, review gate and handoff for each decision. The sequence is deliberately modest. It does not calculate building performance. It helps a homeowner prepare a better question and a cleaner decision record.

The method has five checks:

1. **Traceability:** Can the row point to a household routine or site observation?
2. **Specificity:** Does the row name a room, activity, edge, time, condition or outcome?
3. **Conflict visibility:** Does it name what competes with the preferred outcome?
4. **Verification:** Does it identify what evidence is needed and who can produce it?
5. **Handoff:** Does it state what the architect should show or ask the household to approve next?

If a row fails any check, it is not ready for schematic-design approval. Revise the wording or mark it open.

## Work a modeled example and test sensitivity

Use illustrative numbers only to test the worksheet's logic: show the inputs, units, formula and sensitivity, but never present the result as measured site performance, code compliance or a prediction of comfort.

### Illustrative household and site

Assume a hypothetical single-family lot in the United States. This is a modeled example, not a real site visit or collected dataset.

- The lot is described as 110 feet wide by 190 feet deep in an unverified listing exhibit.
- The household works from home two days per week and uses a shared dining table for 90 minutes most evenings.
- Outdoor meals occur four evenings per week from May through September.
- The most valued view is toward a tree line 180 degrees from the assumed north reference; ownership and future obstruction are unknown.
- The west edge is reported by the homeowner to receive late-afternoon sun from roughly 3 p.m. to 7 p.m. in July; no instrumented measurement has been taken.
- One adult wants a main-level bedroom and full bath so essential daily life is less dependent on stairs if mobility changes.
- The household wants a low-maintenance exterior and does not want daily manual operation of multiple shades.

The input units are feet, degrees, hours, evenings per week, months and years. The design team would still need an accurate survey, a climate and site review, a jurisdiction check and any necessary specialist analysis.

### Translate three priorities

**Priority A: outdoor meals.** The routine is four evenings per week for five months. The initial response is a kitchen-to-outdoor route with a comfortable transition zone. The conflicts are privacy, late sun, wind, drainage, mosquito exposure, maintenance and the cost of a covered or screened area. The next handoff is two site options with the route, shade, view and service path shown together.

**Priority B: west view.** The desired outcome is a view from the primary sitting position, not a promise of a particular window size. The initial response is to test a west opening, a rotated room, a higher sill, an exterior shade or a screened outdoor layer. The conflict is direct late-afternoon sun at the shared table. **Priority C: main-level adaptability.** The desired outcome is daily living that can continue on one level if a household member cannot use stairs. The initial response is a room and service relationship that places sleeping, bathing, food preparation and entry within a practical route. The conflict is footprint, budget, site slope and the household's other space requests. The next handoff is an adjacency diagram and two plan options; the brief does not declare a legal accessibility requirement.

### Apply the illustrative formula

Use the formula `urgency score = consequence × frequency`, with each input from 1 to 5. These are discussion inputs, not measurements.

The table does not tell the architect to sacrifice the view. It tells the household which questions deserve early option testing. If the view is a central emotional outcome, the consequence score may be higher. If the design can control glare without losing the view, the conflict may be cheaper to solve than the first sketch implies. If exterior shades require daily operation the household will not perform, the solution has failed the maintenance test even if the drawing looks elegant.

### Show the performance boundary

The example contains no measured illuminance, indoor temperature, solar heat gain, annual energy use, acoustic level, slope percentage, drainage flow or accessibility dimension. Therefore it cannot conclude that the home will be bright, cool, quiet, efficient, dry or accessible. It can only identify which analysis or professional review should happen.

- If a neighboring tree is removed or grows taller, what changes?
- If the household stops operating a shade, can the room still be used comfortably?
- If the desired view is blocked in five years, what is the backup quality of the room?
- If the most exposed window is reduced, can another room or clerestory provide the desired daylight?
- If a slope response costs more than the initial allowance, which outcome stays and which changes?

Sensitivity makes the brief resilient. It prevents a single unverified assumption from becoming the hidden foundation of the project.

## Review failure cases and approve the next decision

Review the brief by looking for predictable failure modes, then approve one bounded next decision; a brief is complete for the next phase when its remaining uncertainty is named and routed, not when every future design choice has been settled.

### Failure case: the room list becomes the whole brief

**Symptom:** “Three bedrooms, two baths, open kitchen, office, mudroom, patio.”

**Why it fails:** It does not say who uses each space, when, with whom, under what light, privacy or maintenance condition, or how the lot changes the arrangement.

**Repair:** Add activity, frequency, time, adjacency, environmental condition and the evidence or person needed to test it. A room should enter the matrix because of an outcome, not because a catalog showed it.

### Failure case: “south-facing” becomes a universal prescription

**Symptom:** Every room is pushed south or the brief promises passive-solar performance before the climate, shading, window area, thermal mass and controls are reviewed.
